Project and Task Management Template in Origami


This template in the Origami system is designed to provide a structured framework for efficient, organized, and easy-to-implement project management.
It allows organizations and businesses to get started quickly, using a ready-made workflow structure that includes clear management principles, saves time, and reduces manual work.

The template is especially suitable for those who manage projects repeatedly or are looking for a clear working framework that helps maintain continuity, consistency, and control throughout all project stages—from initiation to completion.

This template includes several built-in entities: Projects, Project Templates, Project Tasks, and Knowledge Management.
In addition, the system features a main screen that serves as a central dashboard, providing an overall view of projects and tasks.

We will review the purpose of each entity and explain how to use it for efficient and organized work.

  1. Projects
    A project is intended to serve as the central framework for managing a defined process from start to finish. It consolidates tasks and subtasks under it and allows for planning, assigning responsibilities, tracking progress, and monitoring statuses and timelines.

In this template, you can choose between two options for creating a project:

A. Manual Management (for unique projects)

  1. Select “Add Project.”
  2. In the “Project Type” field, choose “Manual.”
  3. Fill in the required fields, such as the responsible user and the project’s current status.
  4. It is recommended to complete the remaining fields for full and organized documentation.

B. Automatic Management (for recurring projects)

  1. When adding a project, choose the “Template” type.
  2. From the list of existing templates, select the appropriate template.
  3. When creating a project using a template, the system will automatically generate all the basic tasks related to the project according to the template’s settings (see the explanation on templates for details).

Documentation and Monitoring:
After creating a project, you can view the “Monitoring” tab to see the statuses of all tasks associated with it. Additionally, the “Notes & Files” tab allows you to upload and consolidate documentation, documents, and files relevant to the project.

a. Linking Tasks to a Project:

  1. Create a new task under “Project Tasks.”
  2. Associate the task with a project using the “Project” field, selecting the relevant project.
  3. Fill in the other required fields. Once complete, the task will be linked as needed.

b. Subtasks:
If a task is too large or complex, you can add subtasks using the “Repeating Group” at the bottom of the page.

c. Documentation and Communication:
Each task can have notes and files attached as needed for documentation and information sharing.

There are two additional tools for tracking and documentation:Progress Log – A chronological record of the steps completed within the task.

Task Communication – An internal communication channel for clarifications, updates, and information sharing among involved parties.
Both tools are available after the task is created and appear in their respective tabs at the bottom of the page.

3- Creating a Project Template
This entity is used to define templates for projects that share similar characteristics, are recurring, or include a fixed set of tasks. Using templates allows for the quick and consistent creation of new projects.
When adding a new template, you must define a unique name to identify it.
Using the “Repeating Group”, you can define the list of tasks that will be created in the project, including each task’s description and priority level.

After saving the template, it can be selected whenever a new project is created, and the tasks will be automatically generated and populated according to the template’s settings.

4- Knowledge Management
This entity centralizes files that are frequently used within the system, allowing for organized management and documentation in one place.

When adding a file to a record, you can attach supplementary documentation, such as a general description or a user notes log.

Within a project or task, you can select files from Knowledge Management in the file field, giving access to the full list of files stored in the Knowledge Management system.

Using this entity avoids repeated uploads of files from your computer and enables ongoing documentation and communication around the file in case of updates or dynamic changes.

5-Overview: Dashboard and Views
To get a comprehensive view of projects and tasks, the system offers several views:

Gantt View (Projects) – A visual timeline designed for projects, showing their start and end points in relation to other projects.

Kanban View (Tasks) – A task board divided by statuses, designed to track tasks and their progress, including identifying stalled or advancing tasks.

Main Dashboard – Provides an overall view of all open projects and tasks, with breakdowns by status (New, In Progress, On Hold, Completed) and quick access to documents stored in the system.
