CRM Template – User Guide
Introduction
The Origami-based CRM system is designed for managing leads, clients, transactions, tasks, and small scale projects. It enables business process automation, customer communication tracking, and enhancing the customer experience.
Main Categories in the System
The system is divided into four main categories: Home, CRM, Catalog, and Project Management.
Home Category
- Dashboard: Displays metrics through widgets such as lead status, sources of origin, and tasks.

Tasks Entity: Contains tasks from leads and Customers. Allows time tracking for tasks, progress logs, statuses, and prioritization. Includes both Kanban and table views.



CRM Category
- Leads Entity: Includes information about leads, origin, status management, task creation, scheduling meetings, and communication tracking.

- Built-in Automations:
- Reminder alert for representatives 15 minutes before the next required communication.
- Daily report generation (Excel) listing all inquiries requiring responses for the day.
- Through the lead’s card, quotes can be assembled, and upon signing, the lead is converted into a customer within the Clients entity.


Customers Entity: Contains customer details, transactions, meetings, tasks, previous communications/inquiries, and relevant contacts for companies or businesses.

Transactions Entity: Summarizes all transactions made in the system, detailing products, prices, and sources of origin. Transactions originate from quotes (singed proposals) during the lead stage or are created in the customer card.

Meetings Entity: Provides table and calendar views for scheduling and managing appointments graphically. Centralizes meetings scheduled through the lead or customer card.


- Communications Entity: Centralizes all communications with leads and clients.
Catalog Category
- Products Entity: Manages items and services, including prices, status, and manufacturing details.

Project Management Category
- Project Management Entity: Manages projects, including tasks, schedules, and statuses, and allows task creation.
- Project Tasks Entity: Manages project tasks, including status and priority ranking.

System Workflow
New Inquiries:
All inquiries from source channels (landing pages/websites/advertisements) are registered as leads, regardless of whether they pertain to existing or new clients.
- For existing clients: Leads include an indication of their existing status.
- For new clients: The system converts the lead into a customer and creates a transaction record upon signing a deal.
- For existing clients: Deal signing creates a transaction record without re-converting the lead into a client.
Note: To receive leads from external sources or automate message sending and receiving from various platforms, connections must be established with “Make”.
Lead Handling Process:
- A new lead is automatically assigned the status “New” upon entry into the system.
- The representative selects a lead and begins processing:
- Task or meeting creation.
- Adding notes and communications.
- Assembling a proposal of services or items.
Deal signing updates the status to “Closed” and performs:
- For new clients: Conversion into a new customer and transaction registration.
- For existing clients: Transaction registration within the existing customer card.
Customer Management:
- All future inquiries from existing clients are registered as new leads with appropriate indications.
- The customer card remains updated with all new transactions and meetings.
